2a. Information Collected from End Users (Venue Guests)

When you interact with a FanFlow-powered feedback experience at a participating venue, we may collect the following information:

Name
Email address
Phone number (optional)
Date of birth / birthday (optional)
Feedback responses, ratings, and survey answers
Date, time, and location context of your feedback submission

Optional fields (phone number and birthday) are never required to submit feedback. Collection of these fields is at your discretion.

2b. Information Collected from Venue Partners

If you are a business using the FanFlow platform, we collect information necessary to operate your account, including:

Business name, address, and contact information
Account login credentials
Billing information (processed securely through our payment provider)
Platform usage and configuration data

2c. Information Collected Automatically

When you visit our website or use our application, we may automatically collect certain technical information, including:

IP address and general geographic location
Browser type and version
Device type and operating system
Pages visited and time spent on the Platform
Referring URLs

This information is collected in part through Jetpack, a WordPress plugin, which may use cookies and similar tracking technologies on our public website. You may control cookie preferences through your browser settings.

4. How We Share Your Information

FanFlow Insights does not sell your personal information. We may share information in the following limited circumstances:

4a. With Venue Partners

End User feedback and related data is shared with the Venue Partner whose QR code or feedback tool was used to collect it. Venue Partners are contractually obligated to handle this data responsibly and in accordance with their own privacy practices.

4b. With Service Providers

We may share information with trusted third-party service providers who assist us in operating our Platform, including:

Supabase (database and backend infrastructure)
Famous.ai (application hosting)
Jetpack / WordPress.com (website analytics and functionality)
Payment processors (for Venue Partner billing)

These providers are only permitted to use your information to perform services on our behalf and are required to maintain its confidentiality.

4c. For Legal Reasons

We may disclose your information if required by law, court order, or government authority, or if we believe disclosure is necessary to protect the rights, property, or safety of FanFlow Insights, our users, or the public.

5. Data Ownership

End Users own their own personal information. Venue Partners own the feedback and engagement data collected through their FanFlow account. FanFlow Insights serves as a data processor on behalf of Venue Partners and does not claim ownership of customer feedback data.

Venue Partners may export their data at any time in CSV format through the FanFlow dashboard. If a Venue Partner discontinues use of the Platform, they are responsible for exporting their data prior to account closure. FanFlow Insights is not liable for data loss resulting from failure to export prior to account termination.

6. Data Retention

We retain personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required by law. Venue Partners may request deletion of their account data by contacting us at the information provided below.

7. Data Security

FanFlow Insights takes the security of your information seriously. Our Platform is built on cloud-based infrastructure designed for reliability, scalability, and security. We implement industry-standard measures to protect data from unauthorized access, disclosure, alteration, or destruction.

However, no method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. We encourage Venue Partners to use strong passwords and protect their account credentials.
